Qualifications: High School Diploma or equivalent required; high preference for some college experience 2+ years of general office experience required Must have professional experience taking minutes/notes for important meetings and events with the ability to document and articulate key items within conversations Previous data entry and filing system organization experience preferred Good business writing, proofreading and editing skills, computer literacy, and proficiency in Microsoft 365 and Google Suite Good judgment and problem solving skills Strong organizational, communication and interpersonal skills Courteous, friendly and professional manner Ability to work independently and meet deadlines Ability to maintain confidentiality Ability to handle multiple tasks and stay calm under pressure Detail-oriented, focused and reliable Responsibilities: Assist with preparing materials and the coordination of meetings involving the President/CEO; including meetings of the Board of Directors, Leadership Team, All Team, and other internal high-level meetings Draft clear and detailed minutes during Board of Directors and Leadership Team meetings Process, scan and distribute electronic and mailed government contracts and private donation materials received in the office Enter memos-to-file in Raiser’s Edge Answer phone and follow up on messages for the President/CEO Manage petty cash and corporate AMEX, purchase orders, check requests, and expense reports Maintain office supplies and equipment Maintain office filing system Assist with light office maintenance; e.g. light cleaning of President/CEO desk, stock refrigerator, reset chairs after meetings, etc. Coverage when any member of the Executive Team is out Assist with the coordination of special events held by the executive office Other related duties as requested by President/CEO or Director - Executive Office & Administration Essential Physical Job Functions: Vaccinated against COVID-19 Must be able to read, write, type and use phone systems/computer Ability to work onsite in the Lower East Side Ability to climb stairs in a landmark building, lifting up to 40 pounds, reaching, and bending Comfortable working in an office space that has a dog
