SUMMARY:

The Flight Operations Administrative Assistant will provide support to the Flight Operations Department in areas to include on boarding, recordkeeping, training documentation, etc. This position will also serve as the program administrator for the company’s Drug & Alcohol Testing Program.

PRIMARY RESPONSIBILITIES:

  • Provide support to the Flight Operations Team:
    • Audits
    • Note taking & agenda for CMPT and other department meetings
    • Recordkeeping; Reviewing records and/or documents for discrepancies
    • Maintain pilot uniform stock and process uniform requests
    • Other administrative tasks as assigned
  • Provide support to the Flight Training Department:
    • Data entry into “Crew Quals” system and Pilot Records Database
    • Recordkeeping
    • Other administrative tasks
    • Assist with scheduling training events and the Flight Training Schedule
    • Prepare study material and welcome packets for incoming pilot classes
  • Submit Status Change Forms on behalf of Flight Department (Base Changes, Relocations, Pay Increases, Training Titles, Etc.)
  • Post bids and schedules to .ORG website
  • Manage Flight Ops pages of .ORG website
  • Manage Flight Ops forms & their internal revisions
  • New-Hire on-boarding:
    • Coordinate DATP enrollment
    • Process PRIA/pilot background check requests
    • Coordinate new hire pilot ground school
  • Administer the company’s Drug & Alcohol Testing Program
  • Additional duties, as assigned by Chief Pilot

QUALIFICATIONS:

  • High conscientiousness
  • Strong computer skills: experience with Microsoft Office and a strong proficiency in Excel
  • Must be organized with sharp attention to detail, have a strong work ethic, and possess a willingness and ability to learn
  • Must work well in a fast-paced office environment, be a team player and be able to multitask
  • Must possess excellent customer service and communication skills, both written and oral
  • Must embody Cape Air’s MOCHA HAGoTDI spirit
