Job Summary
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office.

The Office Manager performs various tasks such as participates in the selection of personnel, trains personnel, guides and assists with customers service issues over the phone, calling customers to input orders in the system, keeping track of emails that contained PO, scanning invoices and printing reports.

Essential Duties and Responsibilities include the following. Other duties may be assigned as needed.

Summary/Objective

The office manager is responsible for providing effective customer service for all internal and external customers by using excellent, in-depth knowledge of company products and programs as well as communicating effectively with team members within the customer service department.

Essential Functions

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Manage the Customer Service Team and handles issues with customers
  • Manage the Reception area and train on the receptionist duties: greet visitors, and answer and direct phone calls
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Assist with office layout planning and office moves
  • Manage plant activities like the annual company party
  • Manage office budget
  • Attend the Operations Meeting
  • Identify opportunities for process and office management improvements, and design and implement new systems
  • Provide other administrative support as necessary, including scheduling group meetings, making travel arrangements for candidates for interviews or business matters, maintaining calendars, doing research, and creating reports
  • Responsible for office supplies, inventory and ordering. This includes coffee, creamer, etc.... for the machines in the conference room and office.
  • Organize and present meals and snacks for meetings (internal & external)

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, multi-line phones, photocopiers, printers, and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit, stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday with 2 days off per week, 8:00 a.m. to 5:30 p.m.

Travel

No travel is expected for this position.

Required Education and Experience

Bachelor's degree in business administration, communications, or a related field

  • 3-5 years of work experience in an administrative/office management role
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Must be proficient with Microsoft Office and Google products
  • Bilingual is a plus (English/Spanish).
