WHO WE ARE HIRING: Technical Scribe/Transcriptionist

WHAT YOU WILL DO:

HHS Technology Group is seeking a Technical Scribe/Transcriptionist

to play a crucial role in documenting and summarizing key discussions, decisions, and action items during various meetings within high level projects within the organization.

This individual will be responsible for capturing accurate and comprehensive meeting minutes to facilitate communication, collaboration, and accountability among team members.

The importance of effective communication and documentation, is critical in ensuring the success of our meetings and projects.

ESSENTIAL RESPONSIBILITIES:

  • Attend and actively participate in meetings, including but not limited to team meetings, project meetings, and client meetings.
  • Listen attentively to discussions, capturing important points, action items, and decisions in real-time.
  • Prepare clear, concise, and accurate meeting minutes promptly after each meeting, ensuring that all relevant information is captured.
  • Meeting minutes shall be created using the appropriate meeting templates provided and in accordance with the Program Style and Writing Guide.
  • Organize and maintain a centralized repository for meeting minutes, making them easily accessible to relevant stakeholders.
  • Meeting minutes are required to be distributed to attendees and stakeholders within a maximum of 48 hours following the meeting via email with a link to the meeting minutes.
  • Coordinate with meeting organizers to ensure that agendas and meeting materials are available in advance.
  • Continuously seek feedback and improvement opportunities to enhance the quality and efficiency of meeting documentation processes.
  • Maintain confidentiality and discretion when handling sensitive information discussed during meetings.
  • Flexibility for the occasional need for off-hours work to support our customers.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a relevant field or equivalent work experience.
  • Technical writing experience or technical background required.
  • Excellent listening and note-taking skills, with a keen attention to detail.
  • Strong written communication skills, with the ability to summarize complex discussions into clear and concise meeting minutes.
  • Proficiency in using productivity tools such as Microsoft Word, Google Docs, or specialized meeting management software.
  • Highly organized and able to manage multiple tasks simultaneously in a fast-paced environment.
  • Strong interpersonal skills, with the ability to collaborate effectively with team members and stakeholders.
  • Previous experience in a similar role or familiarity with meeting facilitation practices is preferred but not required.
  • Experience with Medicaid/Medicare highly preferred.
