Job Description About the Role Working closely with the Director of Education and Public Engagement, the Senior Manager of Volunteer Programs will oversee the administration and day-to-day operations of The Huntington’s Volunteer Program, including the supervision, recruiting, training, scheduling, and evaluation of over 1200 adult and teen volunteers who fill more than 60 different roles across the institution. In managing this integral component of the Education division’s engagement efforts with multigenerational communities and individual s , the Senior Manager models collaborative, respectful, and inclusive practices, honoring the history of the program while assessing it to ensu re that it meets evolving division and institutional priorities . The Senior Manager will develop innovative yet sustainable methods for balancing volunteers’ needs for support and engagement with staff capacity , working with colleagues in the divisions of Education, Botanical, Art, Library, and beyond to ensure that volunteer assignments, training, scheduling, and systems development comply with requirements and meet institutional and engagement goals . The Senior Manager wi ll stay informed of, and incorporate, current research and practice in museum education, pedagogy and andragogy, visitor engagement, and customer service, to ensure that programs supported by volunteers a dhere to The Huntington’s values and standards of excellence . They will work with colleagues to regularly evaluate the Volunteer Program’s effectiveness, striving for volunteer engagement and retention. S/he/they will demonstrate a background of working directly with people from diverse racial, ethnic, geographic and socioeconomic backgrounds, using a welcoming, inclusive, and accessible approach. Essential Duties Supervise and mentor administrative staff , ensuring clarity of duties and responsibilities, open communication and ongoing performance feedback and professional development Contribute to the leadership team of the Education and Public Engagement team, helping to create healthy staff culture Provide leadership in developing policies and procedures, working with colleagues in Security and Legal to ensure management of risks, maintenance of safety, and accountability to codes of conduct With department staff, ensure the ongoing assessment, revision, and maintenance of the volunteer handbook and requirements Collaborate with staff supervisors from multiple divisions of the institution to develop and evaluate existing and new volunteer assignments, ensuring volunteers are trained and supported through the course of their service and that the roster of assignments reflects institutional needs Ensure the maintenance and functionality of the all-volunteer database that monitors emergency information, areas of service, volunteer status and hours of service, as well as delivers training and resources Lead the cycle of recruitment, orientation, initial and ongoing training and meetings for all volunteers and docents , fostering a sense of belonging when communities gather Collaborate with staff and the Docent Advisory Committee on the ongoing development of docent assignments and training curricula, working with program managers and curators to creat e sustainable methods for training and docent engagements that ensur e learner-centered program excellence, innovation, and alignment with the institution’s strategic plan and visitor engagement goals Collaborate with division colleagues on the ongoing development and assessment of youth and high school volunteer programs, ensuring appropriate support and opportunities that align with best practices in youth development and engagement and overall youth impact goals Implement strategies for attracting and retaining volunteers with a diversity of perspectives and backgrounds Manage and maintain department budgets Manage all docent and volunteer communications and coordinate scheduling with program teams Oversee the planning, scheduling, and implementation of the annual all-volunteer recognition event Partner with Advancement to a ctively manage volunteers during large-scale events such as the annual plant sale, Lunar New Year Festival, Strange Science, and more Represent the Huntington at professional meetings and conferences Contributes to activities and programs produced by the Education and Public Engagement Division May perform other related duties as assigned Candidate Requirements and Experience Knowledge, skills, and abilities: Excellent oral and written communication skills , including demonstrated track record of listening for understanding , providing feedback with care, and ability to sensitively handl e conflict and engage in challenging conversations Demonstrated ability to work well with people of diverse backgrounds and age groups Track record of balancing and responding to numerous stakeholder interests in decision making and program development Minimum 5 years working with a large-scale volunteer program, including providing training and coaching to volunteers and staff supervisors Minimum 3 years managing a team Knowledge of learning theory, and practice that has included informal learnin g, preferably museum- or object- based teaching Ability to work with Microsoft Office Suite required and experience with Digital Cheetah Volunteer Management software a plus Preferred: B.A. in humanities, art, history, education, or science-related field, or commensurate experience, preferred Experience working with youth, especially volunteers, of different backgrounds Experience in collections-based educational program development or delivering gallery-based programming preferred Multi-lingual speaking ability (especially Mandarin or Spanish) a plus Working Conditions Requires travel around 135-acre campus and among indoor and outdoor spaces without difficulty Considerable standing and sitting during programs and events Ability to move and lift up to 25 lbs.
