POSITION SUMMARY: Under the supervision of the Program Director, the Program Coordinator is responsible for planning and coordinating operational and administrative facets of these programs, including helping in the development and monitoring of the program's protocols. Responsibilities include program recruitment and coordinating many aspects of the programs, scheduling of projects, development and implementation of staff training programs, and coordination of program activities.
- The Project Coordinator works with internal and external contacts to organize the various components needed to initiate, run and conclude a major project. Duties include coordinating schedules and activities, placing orders for supplies and services, and tracking progress and results. Requires excellent communication skills and extensive knowledge of database and project management software.

Department: Research - General Internal Medicine
Schedule: Full Time - The location of the job is hybrid, starting out most often working from home with some in person days, but that may increase to additional in-person days in the future.
ESSENTIAL RESPONSIBILITIES / DUTIES :
Recruitment - Identifies opportunities for and initiates outreach to potential participants and qualifying practices to garner interest in the program.
- Responds to program inquiries in a professional and timely manner, and shares program information with interested practices, primarily via email and virtual meetings, but with potential for in-person events such as tabling at conferences
- Tracks and monitors all recruitment efforts, coordinates onboarding of clinical practices into the training program, maintains accurate records of prospective and confirmed participants, and updates program team on progress at weekly meetings
- Assists with development of recruitment materials, such as flyers, handouts, infographics, and slides
Program Support - Corresponds with and schedules meetings for program team and program participants
- Develops familiarity with learning collaborative content (fetal alcohol spectrum disorders) and monitors curriculum in order to ensure content and information is up-to-date
- Participates and takes meeting notes in weekly management meetings
- Works with the leadership team to complete HRSA progress update form
JOB REQUIREMENTS EDUCATION: EXPERIENCE: - Minimum of 2-3 years relevant experience required.
KNOWLEDGE AND SKILLS: - A strong interest in working in a public health program.
- Ability to be self-directed, prioritize essential tasks and balance numerous responsibilities.
- Excellent verbal, written and communication skills. Knowledge of web page creation is a plus. Proficient with standard Microsoft programs (i.e. MS Word, Excel, PowerPoint, Outlook) and web browsers.
- Solid public health background with a focus on prevention programs is a plus.
