We're on the lookout for a talented Virtual Executive Assistant to support the company owner in efficiently managing daily administrative tasks. Location: Remote (Work-from-home)
Responsibilities:
- Provide comprehensive administrative assistance to the company owner, including calendar management, meeting scheduling, and prioritizing property management duties.
- Monitor deadlines, budgets, accounting, and ongoing maintenance and repair tasks for our property portfolios.
- Coordinate and maintain effective communication with team members, third-party property managers, lenders, partners/investors, retail tenants, vendors, and service providers to ensure smooth operations.
- Utilize strong math and accounting skills, including managing, monitoring, and modifying Excel spreadsheets for budgeting, cost controls, and reporting purposes.
- Assist in overseeing construction projects, property maintenance, and tenant improvements, including soliciting bids and liaising with contractors and vendors.
- Maintain confidentiality and handle sensitive information with discretion and diplomacy.
Qualifications:
- Demonstrated experience as an executive assistant or similar role in a remote or virtual environment, ideally for a minimum of 2 years.
- Ability to quickly grasp new concepts and work independently with minimal supervision, while also thriving in a virtual team setting.
- Proficiency in email communication platforms (e.g., Outlook or Gmail), video conferencing tools (Zoom, FaceTime, WhatsApp), and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational abilities with a knack for prioritizing tasks and efficiently meeting deadlines while paying attention to detail.
- Exceptional interpersonal skills, a professional demeanor, and excellent verbal and written communication prowess.
- Resourcefulness, problem-solving capabilities, and the foresight to anticipate needs and address issues proactively.
- Prior experience (minimum 2 years) in real estate portfolio property management is preferred, with additional experience in construction and affordable housing considered advantageous.
- A bachelor's degree or equivalent experience is preferred.
Job Type: Part-time
Compensation: $6.00 - $15.00 per hour
Expected Hours: 15 - 30 per week
Schedule: Monday to Friday (No weekends)
