Executive Assistant – Florham Park, NJ - $80k - $90k d/o/e

Responsibilities include:

-        Manage the Executive Director’s calendar, schedule meetings, and coordinate appointments, ensuring optimal use of time.

-        Prepare, edit and proofread correspondence, reports, presentations, and confidential documents.

-        Organize and maintain electronic and paper filing systems, ensuring accessibility and confidentiality.

-        Serve as the primary point of contact for internal and external stakeholders on behalf of the Executive Director.

-        Draft and distribute internal communications, announcements and meeting summaries.

-        Coordinate communication between departments to support smooth operations and timely follow-through.

-        Handle incoming calls, emails, and inquiries with professionalism and discretion.

-        Maintain accurate and organized records required by regulatory or accreditation bodies.

-        Ensure timely submission of required documentation and assist with audit preparation.

-        Conduct research, gather data, and prepare summaries or reports as needed.

-        Manage office supplies, equipment and vendor relationships.

-        Record, compile and distribute meeting minutes as required.

-        Support the preparation of agendas, reports and presentations for leadership and board meetings.

-        Plan, coordinate and support meetings, trainings, and special events; including room setup, materials and technology needs.

Requirements include:

-        Associate’s degree; BA related field preferred

-        Minimum 5-7 years of administrative experience or executive support experience, preferably in healthcare. 10+ years in lieu of degree

-        Experience in supporting senior leadership or executive-level staff

-        General office skills (Microsoft Word, Excel, PowerPoint, etc.)

-        Excellent communication and writing skills

-        Strong problem-solving skills
