Job Title: Document Control Specialist – Oil and Gas Refinery

Location: Northern California

Job Type: 9–12-month contract

Positions Open: 2

Schedule: 1 Day Shift/1 Night Shift

Pay Rate: $50 +/- DOE + per diem

Job Overview:

We are seeking a highly skilled and organized Document Control Specialist with refining experience to join our team. The ideal candidate will have extensive experience in managing and controlling project documentation, ensuring that all documents are accurate, up-to-date, and compliant with industry standards. Additionally, the candidate should be proficient in the use of Procore software for document management and project coordination.

Key Responsibilities:

  • Manage the creation, review, storage, and distribution of project documents in compliance with company and industry standards.
  • Maintain and update a centralized document control system, ensuring accuracy and accessibility of all project files.
  • Coordinate the document flow between internal teams, contractors, and external vendors, ensuring that all relevant persons have access to the most up-to-date documents.
  • Report on any missing documents
  • Route documents for approval through software such as Bluebeam or DocuSign
  • Create transmittal letters for incoming and outgoing document
  • Using Procore as the doc control system
  • Maintain version control of all documents to ensure proper tracking of revisions and changes.
  • Assist in the preparation and distribution of reports, including but not limited to project status updates, document control logs, and compliance documentation.
  • Ensure compliance with regulatory and safety standards by keeping all project documents aligned with required specifications and approvals.
  • Perform quality control checks on incoming documents to verify accuracy and completeness before submission or filing.
  • Support project teams with document retrieval and archiving, ensuring documents are stored for easy access and retrieval.
  • Work closely with project managers and engineers to ensure that document control processes are adhered to throughout the project lifecycle.

Qualifications:

  • Bachelor’s degree in business administration, Engineering, or a related field (preferred) or equivalent work experience in document control in the oil and gas industry.
  • Proven experience in document control.
  • Proficiency with Procore software, including document management, submittals, RFIs, and other project documentation processes.
  • Knowledge of document control practices, including the management of technical drawings, specifications, and contracts.
  • Familiarity with industry standards and regulatory requirements related to document control in oil and gas projects.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills, with the ability to collaborate effectively with project teams, contractors, and vendors.
  • Ability to handle multiple tasks simultaneously and meet deadlines in a fast-paced environment.
  • Knowledge of other document management systems (DMS) or project management software is a plus.
  • Familiarity with project lifecycle processes, including engineering, procurement, construction, and commissioning phases, is beneficial
