As a Dispatcher is responsible for effectively and efficiently managing the assignment and follow-up of technicians to jobs, ensuring the highest levels of customer service while meeting or exceeding company objectives. Responsibilities: - Technician Management:
- Understand the skills, strengths, and weaknesses of the field technicians.
- Dispatch field technicians based on their suitability for the job.
- Provide all necessary information to field technicians.
- Dispatch only one call at a time.
- Debrief each call before dispatching the technician and update the tally sheet appropriately.
- Reporting:
- Create a weekly written report to the Service Manager summarizing interactions with field technicians.
- Provide a weekly tally sheet report to the Sales Manager.
- Review technicians' strengths with Management on a weekly basis.
- Scheduling and Organization:
- Organize the On-Call schedule for technicians.
- Input leads into the computer system and relay information to system specialists as needed.
- "Time Stamp" field technicians for dispatch, arrival, and completion times in the computer system; verify time cards.
- Contact customers prior to dispatch to ensure their presence and method of payment via phone or email.
- Perform other duties as assigned.
- Schedule:
- Monday to Friday, 7:30 a.m. - 4:30 p.m.
- Rotating Saturdays.
Requirements: - Communication Skills:
- Excellent interpersonal and verbal communication skills with internal teams and customers.
- Technical Skills:
- Good computer skills.
- Knowledge of common office applications such as MS Word, MS Excel.
- Experience with one or more dispatch systems.
- Multitasking and Interpersonal Skills:
- Demonstrated ability to multitask in an intense, dynamic environment.
- Good interpersonal skills.
Physical Demands: - Regular and routine activities include sitting, standing, walking, stooping, kneeling, using hands to handle controls, hearing, and talking.
- This job will require sitting for long periods and using a computer keyboard.
- Frequent reaching with hands and arms is required.
- Must regularly lift and/or move up to 25 pounds (review and modify this weight as appropriate).
- Specific vision abilities required include close vision and the ability to adjust focus.
Work Environment: - The work environment is fast-paced and intense.
- The noise level is usually moderate but will vary occasionally.
- Employees will be subjected to continual interruptions and changing priorities.
- Effective, consistent, and constant communication with customers, vendors, co-workers, and others is required.
