How we LEAD:
Universal Music Enterprises (UMe) is seeking a Coordinator who will support UMe's EVP, Business & Legal Affairs and the day-to-day operations of UMe's Business Affairs team, including the UMe in-house attorneys.

Discretion, confidentiality, and good judgment are essential for this role. The candidate must be efficient and time-sensitive and will need to perform always with painstaking attention to detail. Multi-tasking and meeting tight deadlines are often necessary.

With respect to paralegal tasks, the candidate will be expected to prepare legal documents based on department templates for review and to assist in the management of legal documentation, all under attorney and/or senior staff direction.

How you'll CREATE:
  • Provide general administrative support to the EVP, Business & Legal Affairs and direct reports to the EVP, Business & Legal Affairs including scheduling in-person and Zoom meetings, creating meeting agendas, preparing bi-monthly department status reports, arranging for electronic signing of documents, and other administrative activities.
  • Schedule, plan and coordinate travel arrangements for the EVP, Business & Legal Affairs, and prepare and track expense reports for travel & entertainment and other expenses.
  • Help plan and coordinate events as needed for the Business Affairs department and UMe as a whole.
  • Create an environment of trust and reliability with UMG employees and outside individuals so they feel their requests and needs are being addressed in an efficient manner.
  • Maintain discretion and confidentiality.
  • Assist vendors with registration in Uniport (UMG's online payment system for which you will be trained) and process and track vendor payments.
  • Work with the audio licensing team on 3rd party reissue requests including researching rights under artist agreements for the exploitation of albums to be reissued by 3rd party record labels; creating and organizing files for 3rd party reissue requests; and maintaining relevant files in UMG's computer-based licensing system.
  • Create, send, receive, and distribute internal/external company communications.
  • Research contractual rights and restrictions for UMe's music catalog
  • Prepare legal documents such as licenses and remix agreements under attorney/senior staff supervision.
  • Maintain digital files in UMG's systems and assist with filing of "ink original" documents.
  • Assist in department and company special projects as needed.

  • Bachelors Degree and entry level paralegal or office administration experience
  • Music/Entertainment Industry experience (legal or licensing related experience preferred)
  • Familiarity with business process workflows (i.e. following a pre-defined business process, understanding how one's role helps to achieve the overall objective)
  • Ability to interact comfortably and effectively with UMG employees at all levels, including Senior Management
  • Ability to interact comfortably and effectively with employees of parties with whom UMG does business
  • Self-motivated, pro-active, and resourceful

  • Excellent organization and time management skills
  • Strong proficiency and working knowledge of Microsoft Outlook, Word, Excel and PowerPoint

  • Ability to work quickly and accurately under pressure
