Job Description

Hillcrest Capital Advisors is a boutique financial planning and private wealth management practice providing financial advisory, investment management services. Clients place their trust in our expertise, integrity, and diligence. As Chief of Staff , we will lean on you to :

  • Review, design, and execute improvements to organizational structure; find knowledge and skills gaps and help address them
  • Oversee strategic business initiatives, from development through successful execution, under the guidance of senior leadership and partners.
  • Assist and communicate with executives in services-delivery management, and initiative implementation. Improve current processes and optimize organizational procedures for productivity

In all our activities we would expect you to provide exceptional customer service internally and externally to support financial advisory functions for the Hillcrest Capital team. You would immediately begin to make an impact!

Primary Responsibilities as the Chief of Staff

  • Serve as liaison with staff, executives, senior leaders, and CEO regarding company climate, employee well-being, project updates, proposals, and planning
  • Assist the human resources department with new hires, including documentation and onboarding, and collaborate to address and resolve all employee concerns
  • Oversee daily operations in collaboration with partners or staff, and perform administrative tasks such as managing calendars, generating correspondence, maintaining hard copies and electronic files, planning and coordinating annual corporate meetings, and scheduling facilities
  • Develop and build on relationships with all employees for increased efficiency and responsiveness of existing operations, and help define new operational strategies by working with CEO on special projects
  • Provide service to clients via phone, email, written correspondence including but not limited to incoming calls/emails, questions regarding statements, online enrollment assistance, general account activity etc.
  • Provide marketing assistance as needed including coordinating with marketing vendor, website operations, client mail/email and client events.
  • Take client meeting notes as requested by FA(s).
  • Manage alternative investment reporting and documentation for clients. Manage option position reporting and documentation as needed.
  • Oversee compliance screening and monitoring in daily operations (new accounts or other client actions)
  • May perform various administrative functions as needed as well as other duties as assigned.

Qualifications

  • Bachelor’s degree in finance, Business Administration in a related field or equivalent experience is desired.
  • Team player, eager to collaborate with others.
  • Strong skills and knowledge of Microsoft Office products. Ability to learn additional software applications.
  • Exceptional interpersonal and client service skills.
  • Strong organizational and analytical skills; process orientated with strong written and verbal communication
  • Ability to effectively manage multiple projects and activities on a routine basis with minimal supervision.
  • Ability to work both independently and in team settings.
  • Ability to communicate clearly and professionally through both verbal and written skills.
  • Ability to navigate client concerns, report complaints as appropriate to FA(s) and compliance officer.
  • Ability to manage a variety of tasks and prioritize individual workload responsibilities.
  • Ability to self-motivate and thrive in a complex and rapidly changing environment.
  • Ability to work with strict confidentiality requirements, as well as utilize good judgment in the preparation and distribution of confidential information.
  • Versatile abilities and extreme dedication to efficient productivity
  • Series 7 and 63/66 licenses required.
  • Series 9 and 10 licenses preferred.

Work Environment:

  • Professional and deadline-oriented environment in an office setting.
  • Interaction with staff, vendors, clients/prospects, FA(s), and other team members.

Compensation and Opportunities for Advancement:

Compensation is commensurate with experience and based on being registered or non-registered at the time of hire. Hillcrest Capital Advisors believes in fostering an environment of professional development. Candidates who decide to obtain a Series 7, 66, 9, 10, or 24 Securities License will be financially rewarded for building on their skillset.
