POSITION SUMMARY :

The EW Archivist’s role is to preserve the History of the Sisters of Notre Dame de Namur as reflected in the handwritten and textual records, the photographic records and artifacts collected from the administration offices, the residential convents, the traditional and non-traditional ministries, and the individual Sisters from the 1840s to the present. As part of the East-West Unit, the archivist is to maintain the records of the ongoing activities of the West unit and the interests of the Sisters, of the communications, development, and vocation-formation offices and assist the continuing sponsored institutions with their needs for historical information.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Archival Processing:

  • Collect archival materials from closing convents and institutions and place them in the archives
  • Arrange and describe the collections of previous California Province records and Convent records
  • Arrange and describe the non-traditional ministry records of individual Sister's manuscript collections
  • Create finding aids for the collections
  • Enter all box lists, descriptions and finding aids into the computer and PastPerfect database
  • Responsible for in-house scanning projects that facilitate remote use of the public documentation of the Sisters' history, such as early alumni publications and scanning of older negatives that can be printed for the older sisters' files
  • Transcription of older annals that are likely lost due to fading ink or poor paper condition
  • Work with EW Archivist in the Northeast regarding reference and research questions

Reference:

  • Answer internal, in-house inquiries and external-outside requests for information on the sisters, formerly sponsored institutions, and status
  • Provide items and records for in-house exhibits, prayer services, external institutional exhibitions, alumni functions, and sponsored institutions
  • Provide photographs and biographical information for jubilees and funerals
  • Update location register as collections are consolidated and moved

Outreach:

  • Prepare presentations on the SNDdeN /California unit for mission integration activities, conferences, and the website
  • Continue conducting oral history interviews and work to have them transcribed and printed for research
  • Serve on the Communication committee and other committees as needed
  • Advise Sisters who are moving about consolidating what should come to the archives

Administrative:

  • Prepare annual budget and archive reports
  • Supervise Sister volunteers doing tasks such as typing up lists of poetry, transcribing 1906 earthquake letters and other such projects
  • Willingness to be engaged in professional activities to keep up with the trends in the field

EDUCATION/ EXPERIENCE/REQUIRED SKILLS:

  • Master’s degree in library and information Science (MILS) or Museum Studies. or related field
  • At least three years of work in libraries, archives, and manuscript preservation
  • Experience with small to medium-sized scanning projects of documents and photographic records; experience with retrieving files from older electronic media, saving the documentation in the appropriate media
  • Experience with PastPerfect Archival Museum Software or other archival computer catalog required
  • Excellent oral and written communication skills. Submit sample finding aid
  • Able to set priorities and work independently
  • Ability to read handwritten annals and documents. Must demonstrate this ability before hiring
  • Knowledgeable of or willing to learn about the charism and mission of the Sisters of Notre Dame de Namur
