The Long Beach Island Foundation of the Arts and Sciences (“LBIF”) seeks to fill the position of Administrative Assistant in Visual and Performing Arts Management . This position is seasonal in nature, at-will and part-time, and reports to the LBIF’s Executive Director. The candidate MUST live within a 30 minute commute to the LBIF; that is specifically LONG BEACH ISLAND and MANAHAWKIN. This job cannot be performed remotely. LBIF is located at the north end of Long Beach Island in New Jersey.
The position’s term begins June 2024 and ends September 30, 2024. Thereafter, the employment relationship may be extended or renewed by mutual agreement of the parties.
Because our organization is multidisciplinary in the Arts and Sciences and offers many programs and experiences for all age groups, the candidate must have experience in the ARTS and/or SCIENCES and/or ARTS MANAGEMENT and/or ARTS EDUCATION . Community outreach experience to Businesses in the area (B2B) is a plus! Individuals with advanced degrees and with a varied background experience thrive in our fast paced environment.
Do you have a strong background or terminal degree in visual arts, a degree or background in the eco-sciences, teaching experience in secondary or in higher education, a degree in arts management, managing and developing performing arts programs, graphic design and marketing, digital skills such as web design or as a web master, social media, or organizational management? The responsibilities typically begin at 9:00am and end at 4 pm during the weekdays, and/or 10:00am until 4:00pm on weekends. Work hours may include weekends and evenings as coordinated in advance with the Executive Director. The work is performed in-person with the expectation that 21- 28 hours per week is needed. Our summer season is exceptionally busy and additional hours may be required in July and August.
General Requirements:

- Experience in the ARTS and/or SCIENCES and/or ARTS MANAGEMENT and/or ARTS EDUCATION.
- Proven experience as an administrative assistant in a similar role
- Proficient in using MS Office, Adobe Suite, Google Suite, and other relevant software
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent writing and communication skills; excellent verbal communication skills; exceptional attention to detail and accuracy
- Ability to maintain professionalism and confidentiality at all times
- Strong phone etiquette and customer service skills
- Ability to work independently with minimal supervision
Depending on qualifications, the hourly rate of pay starts at $20.00, and can increase commensurate with experience.
The expectation of the Administrative Assistant includes working closely with the Executive Director. A strong work ethic as a valuable member of the staff is very important. The applicant must be a responsible individual who enjoys taking on responsibility, and be part of the overall team effort. As part of the Office Staff general office tasks will be assigned. High level professional writing skills are a must. In general a team member must be able to provide excellent customer service, courtesy when answering phones, sales, varied data entry, respond to patron via email, all with the goal of providing an excellent customer experience at all times.
